I use deputy as an employee in order to clock in and out of classes that I teach. It is what our manager uses to schedule us. We can offer shifts up and or put in vacation requests. It keeps us all on the same page and helps our manager with pay roll!

  • You used to be able to quite easily go back in and change your time but now that does not work the same. If I miss a shift I have to clock a different one. I used to be able to start the shift I forgot to sign in for and then adjust the time

Great for shift work and for scheduling employees who get paid by the hour. Not great for people who don't necessarily need to clock in, those who just need to get the work done.

Well suited for a small to moderate sized business. It takes time though so it should be an employee's job to take care of it, not someone higher up or the owner persay.

We use Deputy for rostering our administrative and nursing staff, and specialists.

  • The specialists don't actually use Deputy and I am paying for them to use it as I need my other staff to see where they are.
It is suited to small practices that just want a simple rostering service. It would be good if it connected to MYOB Essentials for payroll.

Deputy is used by 3 key managers. Allows the managers to create shifts and view employees attendance, punctuality, and run reports to analyze paid time off. Unlike ADP's time keeping module, we do not enter pay rates in Deputy in order for these managers to use the system without having access to certain confidential information.

  • Export to CSV is easy to use.
  • customer service is now available by phone!
  • Export to ADP Workforce needs different columns than currently offered. We need earnings code 4 and not 3. Haven't figured out how to change it.
  • Some agents are more knowledgeable than others, not sure if it's due to training.
  • Report building isn't always self-explanatory.
  • Need help with building a report with both hours worked AND paid time off that can be uploaded to ADP
It's web based; managers can access it from anywhere that internet is available. Much easier to create shifts than ADP's timekeeping module that requires shift to be changed when employees are asked to start earlier or leave later.

Deputy runs our weekly schedule and day-to-day tasks for us. I create the rosters usually a month in advance and staff can confirm each shift. Staff can enter in their own unavailability which helps with my scheduling and it's easy for them to find their own replacement if they're unable to make a shift.

We use Deputy to simplify timesheet management. Started using it about two years ago when I first needed to hire people. I spent a few weeks evaluating other solutions and found Deputy to be the easiest to implement and use. It integrates with Xero, has self-service features, and doesn't cost too much. There are occasional bugs with shifts left open and syncing data to Xero, but the support has been responsive.

We use it by 24 employees for scheduling in our cafe/restaurant business. Allows us to record time & attendance accurately and easily. We then use it for reporting on our wage costs and integrate this with Xero.

We use Deputy to plan the shifts for our 3 locations. It helps us to use 1 simple software product to send out the shifts to all of our employees. No need to change programs or accounts, we can see all locations in 1 screen. The employees can pick up open shifts and request leaves on their own. While on shift, the employees use Deputy to clock in and clock out. Most employees use the app on their smartphone, which makes it easy for them to use most of the features. It helps that they don't have to ask questions to us about scheduling anymore. We also use the message board inside Deputy to send out messages to specific teams. While this option is a bit limited, it is a good way to send messages from time to time. At the end of the month we make a simple export of all the hours worked and send it to our administration. We can adjust hours and breaks inside Deputy in a few clicks, so we are always sure all the hours arre correct. This saves a lot of time for us.

In that way, it is suited best for us. If you want a complete HRM tool with a good message function, Deputy might be a bit too limited.

We use deputy to staff all of our staff for several different locations throughout the city.
  • Ability to disseminate information and training via the newsfeed.
  • Schedule staff quickly and easily.
  • Constant confirmations & reminders are being sent to staff regarding their regular and overtime shifts.
  • The journal has been important to track good and coachable moments with our staff, in order to help with reviews and documentation.
  • Punching in and out is very accurate and we have had zero problems with this feature. Better than ADP.
  • The ability to print the read confirmations on the newsfeed so I can count the staff as being trained on a particular document or procedure.
We do 24-7 direct care in a residential setting. I am able to set up each home and color code it by supervisor. I can add the address and adjust the schedules if 2 staff are going to split a shift. The scheduling feature is incredibly easy and applicable to any organization.

I use Deputy to manage schedules, leave requests, and sick time for a team of 6. There is only 1 location and no departments. This scheduler allowed me to automate the scheduling process for staffing a public library. Previously I used an excel file and printed sheets to share the schedule, I wanted an app-based solution that would sync with a calendar.

  • Copy and paste scheduling is amazing.
  • The manager side UI needs improvement to be more intuitive.
  • I have difficulty syncing it to my outlook calendar.
  • The app and desktop environment don't sync perfectly and sometimes I need to push updates from the app when I've already done them via a workstation.
  • The billing process is annoying, I'd rather just pay once a year.
This app saves me at least a few hours each month of monotony. It always provides an attractive UI for my staff to submit vacation and leave requests. This app is not very well suited to those who want more fuller automation that requires pattern building to make their schedules. those who like to print out a paper copy of the schedule might not like the output options that Deputy provides.

It is being used across 3 organizations we have. It addresses time clock management and where employees are clocking in.

  • Creating default holiday pay hour rules for certain employees.
  • Location of punch ins not always easy to track.
In general I think it is a great platform to use for small to large businesses as different departments can be created, different user roles can be created, and the system is easy to navigate. It would be nice if location restrictions could be put on for mobile phone punch ins (we don't like this option, but sometimes there is a line for people punching in at computer terminals).

Before Deputy, we used paper timesheets. This was a cumbersome process as our employees would forget to fill them in or hand in their timesheets altogether. We started using Deputy to streamline our timesheet process as well as reduce paper waste and we haven't looked back. Our employees downloaded the app onto their smartphones and are able to record their times with the information available to me immediately. Deputy integrates seamlessly with Xero and the payroll process time has reduced significantly with the use of Deputy. Deputy has many features. We don't use them all as we are a small business but can see how they can benefit businesses of any size in any industry.

  • Award interpretation and breakdown are excellent.
  • The customer service is excellent.
  • I have found that when I create a schedule, employees seem to create a new unscheduled shift rather than using the scheduled shift that I have published. Can you not allow an unscheduled shift to be created if there is a scheduled shift already published?
  • When you Start of End a shift, can you make the 'Submit' button more prominent so they don't forget to press 'submit'.
Deputy is well suited to businesses that have staff that works at different sites/locations as staff can clock on and off on their own mobile device and a location/time stamp can also be viewed by the employee.

Our organization uses Deputy to track hours and scheduling. It is a convenient way to track hours. Our managers have a simple time approving pay sheets. previously, we were using pay to track hours and it was an absolute nightmare. This is far and above better than what we did previously.

If you are a huge company with thousands of employees, Deputy probably won't work well for you. If you have under 100, you can make Deputy work and it is incredibly affordable. I wish it was integrated with our payroll system (GoCo), but the reporting in Deputy is easy enough that it isn't a big hassle. We are also a small team, so I imagine it could be cumbersome to have a nonintegrated solution for larger teams.

Deputy is used across all of our organization, and it is managed by about half of it. It helps us track and verify employee times effortlessly and makes prepping for payroll much easier. It takes the hassle out of ensuring accurate pay to employees while giving us peace of mind that our employees are able to be held accountable.

Deputy has a great, clean interface that is easy to pick up and use/show to others. Employees understand it well, and it helps keep everyone's working time well organized. Additionally, it's nice being able to make quick fixes to someone's time if they forgot or if we owe them extra paid hours. It is a very convenient system.

The main reason why we use Deputy is to track the hours our employees work to specific job sites. With this product, we can schedule employees and also have them manually enter timesheets. We also use Deputy to create different types of reports, and you can modify the reports for your needs. Deputy also makes it easy for us to onboard new employees online, which saves a lot of time for us and the employees.

  • Deputy needs to add a comment symbol in timesheets!!!!! So easy to miss when employees have written a comment without it.
I don't know if it would be less appropriate at all really. I looked at and tried out multiple time tracking apps before choosing Deputy, and so many apps did not suit our needs as a construction company and personal preferences. Deputy is very adaptable to your needs, and they really want to be the best time tracking app out there. If something doesn't suit your needs, they try to improve the product.

We switched from OnTheClock to Deputy as we wanted deep integration with our payroll service and with our Identity Management System (Azure AD). The time-keeping features seemed good and the approval system looked good. It was all web-based which was a plus. It costs more, certainly, but if it saved me time on the payroll I was willing to pay for it. The onboarding process was fairly straightforward. You create an account as you would anywhere by filling in your company details. Deputy does have quite a few different pre-packaged locale-specific timekeeping/tracking rules. An example is the California overtime rules. I liked the break-tracking system where you can just have a checkbox where the employee attests they took their breaks as [opposed to] having to have everyone clock out for a few minutes [which] is silly and cumbersome [I think]. The approval system is cool but I [personally] don't like the fact it doesn't snap to the current pay period when you opened it. It takes you to where you were last from an approval standpoint [I've found]. There is a "next week/last week" slider but if we're using semi-monthly pay periods, as we are, then these do not align [ I believe]. [In my opinion], the software should snap to our defined pay periods when selecting next/back on the approval system. It does integrate [well] with OnPay [which is] our payroll system so there is that at least [I believe]. The hours are brought in with a click of the button. One core feature I wanted was [the ability] to use the SSO option with Azure AD, which Deputy [I believe] says it supports. I have [personally] spent months on this trying to get it to work. [The way I see it] Deputy's setup guides do not match their product's GUI [I have found] but I thought I would be able to get around it and figure out where things go. [From what I discovered] SSO would not work. I tried to get help from support and eventually I got escalated to someone [I believe] appeared to know what they were doing far more than the other people who were pretty useless [in my opinion]. [Speaking personally] I had to rope in Deputy's CEO before this happened though, via LinkedIn, as the normal channels for support were going nowhere [I believe]. Unfortunately, the issue was never resolved [to my satisfaction]. I have [personal experience with] setting up Azure AD SSO with numerous other apps we use and the process is always the same so [in my opinion] I don't feel I set it up wrong. [As far as I'm concerned] either the data provided is incorrect or Deputy's system is broken. I [personally] suspect it has to do with the fact that Deputy gives you regional servers to use and also a personalized FQDN you can use [which] I believe is related. In the end, to this day, I still do not have SSO working [to my satisfaction]. [The way I see it] Deputy loses a lot of points on my review for the way this whole experience relating to SSO not working [the way I see fit]. [As far as I'm concerned] it took way too much effort to get to someone knowledgeable [and] the issue was never resolved [to my satisfaction] even after hours of effort on my part working with support over something that normally takes about 5 minutes to set up with any other Azure AD SSO enabled app I've [used]. [In my opinion], the lack of ability to carry the ball to the finish line leaves me unhappy with what else will be left in a similar condition that might I run into payroll-wise. Overall [I found] the software itself seems capable and I think people with large teams will enjoy the scheduling elements that I don't really use. [In my experience] the costs can scale up quickly though so be careful there. [I believe] if you are someone who needs a lot of hand-holding, I would warn you that if a IT pro had this much trouble with Deputy's software then I fear you may fare far worse [in my opinion].

[My own feeling on the subject is] that large teams will probably enjoy the features much more than a smaller team. [In my opinion] I would not have signed up with Deputy had it not been for the integration with my payroll provider. [From my point of view] the cost is not worth it for a small team. [I've found] it has a lot of features geared towards big teams and those are not things you can "opt-out" of from a cost/tier standpoint [as far as I'm concerned].

We use Deputy for scheduling and timesheets. Deputy integrates well with our payroll provider, OnPay. Deputy helps my team stay connected by using push notifications to notify my team members of updated shifts, complying with state labor laws by reminding employees to take their required breaks, and providing easy access for employees to clock in and out using the app on their phone.

If you are a solo entrepreneur without employees, then Deputy might not be suited for you.

My business uses Deputy on a daily basis. It helps my employees to clock in, request time off, and keep track of their hours. I also write the weekly schedules on it and can check staffing expenses as I do it. I like that it allows me to input information on my staff such as contact information, pay, and job qualifications.

It was a large step up from Kronos, which we used before. Even my older staff, who do not know how to use a computer, have been trained to log in, clock in and out, and request time off. When I write schedules, I love the copy and paste feature, it saves me a lot of time.

We use Deputy mainly for rostering as we were manually creating rosters in excel, we found it difficult and [time-consuming] to continue this as our team grew. It has solved our onboarding process as well making it far easier to set up new staff within deputy and also directly [transfer] to Xero.

Fantastic for rostering and planning shifts. It is easy to save shift templates for different scenarios and this makes it so easy. It also puts [the] onus back on staff to manage their shifts instead of management. The onboarding process is really simple too, this has saved time making it automated instead of manually being triggered. One of the frustrations with [the] deputy is the timesheets interaction with Xero. We still have to manually create payslips in [Xero] because [the] deputy can’t [separate] different day/pay grades causing issues with net pays.

I use Deputy for weekly rosters and the use of daily timesheets, also have log-out questions to find out if there are any incidents that need to be reported. Timesheets are then [exported] to our payroll. I also use the reports to work out my HR cost to stick with my budget. I use the message board to communicate important documents and it allows me to confirm my staff [has] read them. I can also update rosters and approve timesheets from the app on my phone.

Deputy is a very simple rostering system that is easy to use for employees and employers. handy that it’s app-based for staff to use to log in and out of with the iPad kiosk app. also for the admin laptops. Your team can have [their] rosters on their phones and you can notify them via message for changes. We use this for important information also. And Can also do pretty much everything from the ph app if you are out and about.

We started using Deputy in a single location retail environment and expanded it to a second location after a merger. Prior to Deputy, we used a mix of Excel and paper-based systems to schedule employees, track time-off requests and shift changes. Our business has seasonal fluctuations in employment levels so paper-based is easier when your headcount is low. During the busy season when employment was up, scheduling-related headaches also went up. Deputy was a good way to bring some sanity back to our scheduling.
  • Notifying employees (text/email) of a new schedule being posted.
  • Analytics around payroll costs for a particular schedule.
  • Ability to set up separate areas or locations as needed.
  • Ability for employees to request time off or trade shifts.
  • Integration with various point of sale systems to pull sales data vs. scheduled and/or worked hours.
  • Ability to "re-invite, " change a password or fix an employee-level account if they didn't set things up correctly.
  • An easier way of loading all holidays or facility closure dates for the year. e.g. Google reminds you, Are you open for Thanksgiving this year?
Deputy is a full-featured scheduling solution that's great for any shift-based business with hourly employees. It's probably less useful for a professional environment of mostly exempt employees. In my world, 10 would be "walk on water," I felt very comfortable giving this an 8 and would recommend it to other retail or hospitality businesses due to the convenience and time-saving features for owners or managers. Anything that helps you develop systems to more smoothly run your organization is worth a look and Deputy should be on your shortlist.

Used for scheduling and time cards for employees. Schedules are posted weekly, pay periods end on the 15th and EOM. Each crew member can work various jobs at multiple locations. I need to see what hours the employee is working across all locations. Need it easy for employees to put in requested time off, see their schedule and break times, and log in and out at the location. Deputy is OK for most of this but is weak/fails on various tasks.
  • Alerts when late for shift.
  • Timecard reporting download.
  • Time clock login/logout location fairly accurate.

  • Need a better widget for Calendar on Unavailability> Add new.
  • On the All day, When you set the From date, the To date resets to the day before the 'From' – and you get the warning "End date is in the past". Makes no sense. It should reset 'To' to the NEXT day.
  • Also, Setting the Time – cannot see the scroll bar; hard to move the time down to where I want it.
  • Functionality extended:
  • Schedule – date header What’s happening today. Needs to be visible to ALL Users, so when each user looks at their schedule, they can see the notes I entered about the day. Otherwise, why bother having the comment section?
  • Would be very nice to have!: Publishing Schedule – Notify staff Need a Notify and Confirm VIEWED. Need to know that employees saw the schedule, but they do NOT get the option to Accept or Reject the shift.
  • ****** #1 NEED: On App – once an employee is logged in, can no longer see their schedule. Need to be able to see what they are scheduled for, so managers and employees know when they are supposed to have their break, and when they are supposed to end their shift.
  • Irritant: Setting Payroll periods. It does not understand 2 times a month. Can not set the 15th and last day of the month. Always have to adjust when working with a time period for payroll.
Pretty good for Payroll/ Time tracking and adjustments to past shifts good. Downloading information is good. Scheduling - picks up Unavailability pretty well. Layout when trying to set up a schedule and breaks is so-so. Keeps switching what line each employee is on, constantly fighting it. On the job - OK for employee interface - Logon/Logoff. Terrible for trying to get info during shift. As soon as a person logs in, can no longer see their shift - when they logged in when their break and end shift time is. Also can not see all locations at once on the mobile app. Have never used the Tasks/Checklists. Seems like a pain and I Don't want employees pulling out their phones during work. Fairly versatile for many different types of businesses. Slightly better than the competition. Pricing good.

We use Deputy to manage multi-location teams to record hours and locations worked. We also use Deputy to schedule shifts for self-employed teams where each individual's pay is linked to multiple areas they work at. The exports of timesheets are then used to import monthly payment amounts into a payroll system. The whole process is error-free and it takes minutes to process every month.

Deputy is very good at allowing remote management of teams and the geo-locations of staff shifts, which has been very helpful at times of Covid. Pre and past shift questions are great for capturing some key data relating to daily operations, and Covid questions. It also allowed us to capture staff's confirmation that they are aware of the most recent updates relating to changes in prevention measures around the spread of the virus. We tried to use Deputy to manage daily tasks for staff on duty. This functionality did not work for us and we used a different system for managing these.

I provide first aid for special events so the number of staff I need varies greatly. I used to do my scheduling by email and keep track of the shifts in a spreadsheet but was constantly making mistakes when my number of events per day volume increased. I love the fact that I can have people request shifts and then I can assign who I want to work each shift. This was the main selling point for me. I also really like that I only get charged for the shifts I schedule. There are several weeks (and even months in the winter) where I don't have any events and so to have to pay other sites just have my staff in their database when I have no income was not an option for me.
  • Let me choose who works a shift from a list of those available
  • It only charges me for the shifts scheduled, not the number of employees in the system.
  • My employees really like the web app, and find it easy to use.
  • The web app for managers is not overly useful. When I have shifts posted, it tells me that there are multiple people that are requesting a shift but I am unable to see who they are.
  • When multiple people request a shift, it would be really nice if it kept a history of those who requested but weren't assigned to a given shift so that if an employee cancels I know who else had asked to work that shift without having to manually record the info.
I don't have any specific examples, because I think Deputy is well suited for everything I use it for.

We use Deputy for shift scheduling, PTO tracking, Leave Management, and Timesheet Approval for Payroll.
  • The scheduling module is well designed, allowing open and fill shifts with ease, and [the] option of approval for open shift pick up is great.
  • Leave management is a great feature. We can do PTO and Leave Management in one software now.
  • When it comes to timesheet export, the overtime rule is not flexible enough. We have to do [an] extra manual data process before [entering] it [into] our payroll software.
For [a] business that is relying on shift workers, Deputy will be the best software to use.
